You don’t have to implement all of these but, there more you do the less impact email will have on your time.

  1. Close your email – Seriously keep it shut. Having email constantly open is the ROOT cause of letting it distract you and make you reactive
  2. Turn off notifications – There is no point having your email programs shut if your phone is pinging in your pocket every time one drops into your inbox
  3. Outline response times – If you are going to embrace your newfound freedom from emails then your clients need to know and understand this so clearly define how long it will be before you respond to emails
  4. Set times to check – Once you close down your emails you will get withdrawals so set regular times in the day that works for you to check your emails
  5. Create tasks – Now what to do with the emails when you check them? Refer to your response times and send quick responses to those that need it to keep them happy and create tasks on your todo list to action the others or delegate

Email is not instant messenger. It’s email. You don’t have to reply instantly. If it’s urgent they will call and leave a message.
